AUCTION DISPLAY
This committee is responsible for creating displays for all live and silent auction items/packages. This includes a colorful ballroom display to promote each item, providing props for use by models on stage, returning any borrowed displays after the event, and working closely with the Decorations and Procurement Committees. Committee works February through the night of the event. (10-15 volunteers)
CATALOGUE DEVELOPMENT & PRODUCTION
This committee is responsible for catalogue preparation which includes investigating values and restrictions, designing package groups, producing gift certificates, inputting catalogue information into the auction database, and proofing. The committee is also responsible for assisting in the production and printing of catalogue. Layout and proofing skills, as well as the use of PageMaker or InDesign are helpful. This committee works closely with Event Coordinator and Management Staff. Committee works from February through April. (2 volunteers)
CLEAN UP
Calling all night owls! This committee is responsible for clean up after the event and moving display items back to campus. Clean up begins around 10pm until approximately midnight on day of event. This is a great opportunity for a group. (6 volunteers)
LIVE AUCTION RUNNERS
Wear comfortable shoes for this one! This committee is responsible for making sure the live auction runs smoothly and efficiently by running live auction bid sheets from the ballroom to the cashiering room and back to winning bidders. This committee also needs two people to hold up the large live auction numbers on stage. This committee works closely with the cashiering staff and the auctioneer. Committee works the night of the event from 6-9pm. (25 volunteers)
LIVE AUCTION SPOTTERS (POMPOM PEOPLE!) Get out your pompoms and leave your inhibitions at home! This committee is responsible for making sure the live auction bidders are spotted by the auctioneer. Committee members must be willing to make a lot of noise, shake pompoms and jump up and down to get attention of the auctioneer. Committee works the night of the event from 6-9pm. (15 volunteers)
MOVE IN Calling all early birds! We need volunteers to help us unload and move into the Sheraton Seattle Hotel on the day of the event from. 7am-12pm. You supply the muscle, we supply the coffee. This is another great opportunity for a group. (6 volunteers)
OFFICE ASSISTANTS
Can you make a weekly commitment? If so, we need you to help us in the office. Office volunteers are needed to make follow-up phone calls, process correspondence or other project tasks to assist with event coordination. This position requires two to four hours during the week, now through the day of the event. (2-3 volunteers)
PACK UP DAY BEFORE EVENT This committee is responsible for packing up items the day before the event for their move to the Sheraton Seattle Hotel. Must be able to lift 25lbs. 10am- 2pm. (4 volunteers)
PICK UP (Auction Items)
This committee is responsible for picking up auction and display items that cannot be delivered by donors or solicitors, as well as picking up last minute items. Committee members need transportation (preferably large vehicles, although not a necessity). Committee works now through April.(6 volunteers)
RAFFLE SALES
This committee is responsible for selling raffle tickets before and during the event, tracking ticket sales, working with the emcee to draw winners and recording that information for the cashiers. This committee starts selling tickets in February and works until 7pm the night of the event. (15 volunteers)
REGISTRATION This Committee is responsible for assembling auction packets on 2 or 3 nights during the week immediately preceding the event, registering guests on the night of the event and filing paperwork during the auction. (25 volunteers)
SILENT AUCTION (aka SECURITY)
(Two groups) The first group is responsible for monitoring auction and display items before, during and after event, guarding ballroom doors, and working with off-duty police and boxing up display items. The second group is responsible for working with the silent auction emcee, closing bid sections (including center pieces), determining and providing winning bid information to cashiers and distributing bills to winners. This committee Works throughout the afternoon and night of the event. (50 volunteers)
VOLUNTEER ROOM
The Volunteer Room is mission control for the volunteers the day of the event. These volunteers are responsible for checking in Tuxes & Tails volunteers, distributing t-shirts, monitoring food and beverages for volunteers, directing volunteers to the areas their committees work, and answering general questions. There will be various shifts during the day of the event. (10 volunteers)
